Frequently Asked Questions
What does a follow-up system actually need to get right?
State. Every decision depends on what has already happened, and a guess produces a message contradicting something the candidate already knows.
Why is processing inbound replies difficult?
Replies arrive as automated acknowledgements, kindly ambiguous rejections and invitations buried in scheduling links — and rarely quote a reference. Misclassification causes the worst-timed follow-ups.
What if a reply cannot be matched to an application?
Leave it unmatched and ask. Attaching it to the wrong application corrupts two records at once, which is worse than one gap.
When should automation stop?
As soon as a human replies with anything substantive. Automation handles the silence; the person handles the conversation.
How many follow-ups are appropriate?
At most two. Two weeks to the first, another two to the second, then stop. Three messages in ten days gets the candidate remembered for the wrong reason.
Why use asymmetric confidence thresholds on classification?
Because mistaking a rejection for silence sends an embarrassing message, while mistaking silence for a rejection only means one message goes unsent. The costs are not equal.
